We are looking for a detail-oriented and experienced Payroll Tax Specialist to join our growing team. You will be responsible for ensuring the accurate and timely filing of federal, state, and local payroll taxes for our clients, resolving tax notices, and maintaining compliance with evolving payroll tax regulations. This is a critical role for ensuring trust and reliability in our payroll platform.
Responsibilities:
- Prepare, file, and reconcile federal, state, and local payroll tax returns on behalf of clients across all 50 states.
- Monitor filing calendars and ensure timely deposits of all payroll tax liabilities (941, 940, state withholding, SUI, SDI, etc.).
- Register new businesses with state and local tax agencies as needed.
- Respond to and resolve payroll tax notices from IRS and state agencies.
- Maintain accurate payroll tax records and support audits or inquiries as needed.
- Collaborate with engineering and product teams to improve automation and compliance within our payroll system.
- Stay up to date with changes in payroll tax laws and regulations across jurisdictions.
- Assist with internal process documentation and contribute to scaling payroll tax operations.
Qualifications:
- 3+ years of experience in payroll tax compliance, preferably within a payroll provider, PEO, or multi-state employer environment.
- Proven experience preparing and filing payroll tax returns at the federal and state levels.
- Deep understanding of employer tax obligations (FICA, FUTA, SUTA, withholding).
- Strong problem-solving skills and attention to detail, especially with tax notice resolution.
- Experience using payroll software (e.g., Gusto, ADP, Rippling, Paychex) or working in an embedded payroll tech environment.
- Familiarity with multi-state payroll tax compliance and new state registration processes.
- Excellent communication and organizational skills.
Nice to Have:
- Experience in a startup or SaaS company, especially in fintech or HR tech.
- Exposure to California and New York state-specific tax compliance.
- CPP (Certified Payroll Professional) certification.
