The Workplace Experience team powers the Plaid experience. We do this through adaptable problem-solving, intentional design, and thoughtful execution grounded in expertise and care. By elevating the everyday and focusing on the moments that matter—big and small—we fuel productivity and strengthen connection across the company. We are seeking a hands-on Workplace Projects & Programs Manager to drive execution, structure, and visibility across key Workplace Experience initiatives. You will play a central role in delivering complex workplace and real estate projects, while also helping establish the project management practices and operating rhythms that enable the team to scale effectively. This role reports to the Head of Workplace Experience and partners closely with peers across Workplace Operations and Employee Experience.
Responsibilities:
- Key Focus Areas:
- Own end-to-end project management for major workplace initiatives, including office relocations, expansions, renovations, and space-related improvements, developing detailed plans across scope, timelines, dependencies, budgets, and risks.
- Coordinate with external partners such as architects, general contractors, and external project managers to deliver large-scale workplace builds and relocations.
- Partner closely with Workplace Operations to ensure smooth handoffs from project delivery into ongoing operations.
- Partner with the Employee Experience team to project manage large-scale company events and programs (e.g., company retreat).
- Own timelines, deliverables, and cross-functional coordination for event-related initiatives.
- Build repeatable processes for event planning, execution, and retrospectives to inform future improvements.
- Own and manage key Workplace Experience programs, including: Attendance tracking and space utilization audits, Bi-annual Workplace Experience survey, Employee stipends and related policies, People Hub content and employee-facing workplace resources
- Monitor and analyze program data and employee feedback to surface insights and recommendations that inform ongoing Workplace Experience improvements.
- Identify opportunities to improve how the team plans and executes work, implementing lightweight tools and processes that support scale and consistency.
- Develop a point of view on tooling (e.g., spreadsheets, Asana, etc.) and ensure consistent adoption across projects.
- Manage the team’s project roadmap, dependencies, and quarterly updates in close collaboration with project owners.
- Drive clear project visibility through milestones, status updates, and risk tracking for key initiatives.
- Serve as a trusted project partner to peers across Workplace Experience, IT, Finance, and Executive Administration, bringing structure, clarity, and momentum to cross-functional work.

Qualifications:
- 4–8 years of experience managing complex, cross-functional projects, ideally related to workplace, facilities, real estate, or employee experience.
- Direct experience with office relocations, expansions, renovations, or large workplace changes.
- Proven ability to own projects end to end, including timelines, budgets, dependencies, and risk management.
- Experience working with internal partners and external vendors to deliver successful outcomes.
- Comfort operating in ambiguous, fast-changing environments, bringing structure and momentum to work that is not fully defined.
- Strong collaborator who drives execution through influence rather than authority.
- Clear, concise communicator with strong written and verbal skills.
- Comfort using tools such as Asana, Google Workspace, or similarWillingness and ability to travel occasionally (up to ~25%), depending on project needs and role location.

The target base salary for this position ranges from $106,800/year to $145,200/year in Zone 1 (San Francisco and New York). The target base salary will vary based on the job's location.
Our geographic zones are as follows:
Zone 1 - New York City and San Francisco Bay Area
Zone 2 - Los Angeles, Seattle, Washington D.C.
Zone 3 - Austin, Boston, Denver, Houston, Portland, Sacramento, San Diego
Zone 4 - Raleigh-Durham and all other US cities
Additional compensation in the form(s) of equity and/or commission are dependent on the position offered. Plaid provides a comprehensive benefit plan, including medical, dental, vision, and 401(k). Pay is based on factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience and skillset, and location.
